As part of this commitment, our privacy policy governs our actions as they relate to the collection, use, modification, storage, and disclosure of Personal Information. The Personal Information collected will be limited to those details necessary for the purposes identified by us.

3. When and where we collect your Personal Information:

Personal Information is collected when: (a) you visit or otherwise use our website, (b) you send us a message through any of the contact forms located on our website; (c) you sign up for and/or use our services; (d) when you reach out to our customer service team, send us an email, call us over the phone, or otherwise communicate with us in any other way.

4. Information we collect, how we collect it, and how we use it:

4.1 For providing services to you. We collect, use, retain, modify, and disclose Personal Information to provide you with the product or service you have requested and/or to offer you products and services we believe might be of interest to you in the future. As much as possible, the purposes for which we collect Personal Information will be identified before or at the time we collect the information. In certain circumstances, the purposes for which information is collected may be clear, and consent may be implied, such as where your name, address and payment information is provided as part of the purchase of our services. In general, some uses of your Personal Information that would be consistent with use for the delivery of services to you (now or in the future) include (but are not limited to): 

  • Sending you order confirmations and/or invoices
  • Delivering to you the services or products you have requested from us
  • To allow you to remit payment to us for our services and products, to process your payment information, and/or to provide you with convenient and flexible means of remitting payment to us 
  • Responding to your specific inquiries and requests, and delivering customer service to you more generally
  • Providing you with information or updates about the services you are receiving from us, your use of our services, or the delivery of our services more generally
  • Creating customer accounts or profiles to facilitate the delivery of the services to you
  • For any other purpose consistent with the delivery of our services to you or the execution of our responsibilities more generally as outlined in our Service Agreement (where one has been executed)

4.2 For improving our services. We collect information that you voluntarily provide to us through responses to surveys, search functions, questionnaires, feedback, customer experience forms, and similar tools. We may also ask you to provide additional information (such as your email address) if you want to obtain additional services, information, participate in a contest or to resolve complaints or concerns. Finally, we may use information collected automatically during your visits to or use of our website, webforms, or other digital applications. All information collected in these ways is used to help us better understand our customers’ needs and improve our services. 

4.3 For analysis, research, and development. Any information gathered on our website may be used for research and development relating to our website(s) and/or for future site development. We may use third-party website analytic tools, such as Google Analytics (please consult their own privacy policy found here), on our website that employ cookies to collect certain information concerning your use of our website or services. Most websites and app owners also use log files to automatically collect and store information about their users’ IP address, browser type, Internet service provider (ISP), content viewed on our site, the data/time etc., and we also collect this information and use it for the purposes of analyzing trends, administering our website, tracking visitors’ movement around our website, gathering demographic information about our visitors (for the purposes of improving our services and the marketing of those services), and for research and development more generally. 

4.4 To send you promotional and/or marketing materials. If you ask us to or otherwise provide your explicit consent, we may use your Personal Information to send you promotional materials, to assess the needs of your business and/or make relevant suggestions for additional products or services that may be of use to you or your business, send your marketing communications, display content based on your interests. If ever you wish to withdraw your consent for us to use your Personal Information to send you promotional and/or marketing materials, you can send us an email requesting that this modification be made. 

4.5 To customize your experience. We may use information gathered about you for the following purposes: to monitor interest in our range of products and to assist us to tailor the content of our website(s) to your needs by collecting information about your preferences through tracking of patterns page views on our website(s); to create a profile relating to you in order to show you the content that might be of interest to you and to display the content according to your preferences; and, in circumstances where you have indicated that you wish to receive additional information, to send you information about us and promotional material about our products together with details of any offers we may have available from time to time.

4.6 Payment processing. We make use of third-party invoicing and payment processing services, such as Square, and these services may require that your or we share certain Personal Information with them (such as your name, email address, physical address, company name, phone number, etc.) and these services may otherwise request, require, and make use of your Personal Information according to their own privacy policies. By using our services, you are consenting to the sharing of your Personal Information with these third parties as required. Wherever reasonable and possible, we are happy to accommodate your request to invoice you or receive payment from you by another means, but we may not always be able to honor such requests or the honoring of such requests may compromise the quality of the services you receive from us. 

4.7 Use of cookies more generally. Lumida Editing & Proofreading may make use of “cookies” on its website(s). Cookies are small data files that are downloaded onto your computer when you visit a particular website. We may use cookies to improve our website’s functionality and/or to provide you with a customized online experience. Cookies are widely used and most web browsers are configured initially to accept cookies automatically. You may change your Internet browser settings to prevent your computer from accepting cookies or to notify you when you receive a cookie so that you may decline its acceptance. Please note, however, if you disable cookies, you may not experience optimal performance of our website(s). Please also note that we may expand our use of cookies to save additional data as our features and services expand and evolve. 

4.8 Use of your information by other websites. Our website(s) may contain links to other third party sites that are not governed by this Privacy Policy. Although we endeavor to only link to sites with high privacy standards, our Privacy Policy will no longer apply once you leave our website(s). Additionally, we are not responsible for the privacy practices employed by third party websites or their content. Therefore, we suggest that you examine the privacy statements of those sites to learn how your information may be collected, used, shared and disclosed.

4.9 To protect you, our website, our team members and other users against spam and abuse. To protect our website, the safety of your information, and the safety of our other users and their information, we employ third-party services, such as Google’s ReCAPTCHA v3. Please note that we have implemented reCAPTCHA v3 on our site and that your use of reCAPTCHA v3 is subject to the Google Privacy Policy and Terms of Use. reCAPTCHA is used to fight spam and abuse on our site. 

5. Accuracy of information:

We will maintain your Personal Information in as accurate, complete, and up-to-date form as is necessary to fulfill the purposes for which it is to be used. If you wish to make changes to the Personal Information we have on file, please send an email to privacy@lumida.ca 

6. How long personal information is retained:

All Personal Information collected by Lumida Editing & Proofreading is retained for the time that is needed to fulfill its intended use or purpose and for one (1) calendar year thereafter, or as otherwise required by law.

7. Information sharing and disclosure:

We care about your privacy. We will not share your personal information with other third parties except as described in this Privacy Policy, per the terms of your Service Agreement with us, or wherever else you provide your consent in writing. 

In order for us to provide you with the services and to ensure that we can continue to maintain a high standard of delivery, we will need to share your Personal Information with: (a) our third party service providers. Information we share with our service providers may be used for purposes including (but not limited to): the execution of our services or the delivery of our services to you; sending invoices, tracking payments, and processing payments; providing customer service and support; sending marketing communications or otherwise including you in our digital marketing strategies; conducting research and analysis; or for data management, data storage, and cloud computing; (b) our business partners and/or affiliates; and (c) wherever necessary for legal purposes or as otherwise required by law.

8. Accessing, modifying, or deleting your Personal Information:

If you wish to know (a) whether we have any Personal Information on file for you, (b) what the intended use and disclosure of that personal information is, or (c) if you wish to otherwise access the Personal Information we have on file for you, please submit your request in writing to: privacy@lumida.ca 

Upon receipt of your request, we will prepare the information for your review, and you may verify the accuracy and completeness of your Personal Information and may also request that it be amended (where appropriate and permitted by law). However, please note that we cannot disclose certain information to you under certain circumstances, such as where information related to you references other individuals or their personal information or if there are other legal, security, or proprietary restrictions that must be honored. 

If you have any questions about our Privacy Policy or if more information is desired beyond what is provided here, please submit your inquiry or request in writing to privacy@lumida.ca. Upon receipt of your request, we will be happy to respond to your questions or, wherever possible, make additional information available to you about our policies and practices as it relates to the management of your Personal Information.

9. Opting out of data collection and usage:

If you wish to opt out of allowing us to collect or use your personal information, please submit your request in writing to privacy@lumida.ca 

In most cases, there will be consequences as a result of withdrawing your consent for us to collect or use your Personal Information, such as you no longer being able to use our website(s) or access our services. Upon receipt of your written request, we will advise you of the consequences that would apply to your particular situation, allowing you to make an informed decision. Please also note that, in most cases, we will still need to retain your Personal Information for a minimum period of two (2) calendar years after your request has been submitted.

10. Data storage and protection:

Lumida Editing & Proofreading strives always to follow best practices for the storage and protection of data, and Personal Information will be protected by security safeguards that are appropriate to the sensitivity level of the information. We take all reasonable precautions to protect your Personal Information from any loss or unauthorized use, access, or disclosure. In keeping with this, we have put in place physical, electronic, and managerial procedures to safeguard and help prevent unauthorized access, maintain data security, and correctly use the information we collect online, such as ensuring that all electronic devices are password-protected and stored in secure locations, making use of two-factor authentication wherever possible, choosing third party service providers with strong security reputations, and ensuring that employees and other service providers only have access to your information on a need-to-know basis. 

Unfortunately, in spite of our efforts, we feel it is important to remind you that we cannot guarantee the security of your Personal Information with absolute certainty, as no method of digital transmission can be considered 100% secure. Before using our website(s) or otherwise sharing any personal information with us, we encourage you to give serious consideration to the matter and ensure that you fully understand the risks associated with the use and sharing of information over the Internet and via connected devices.

11. Changes to this Privacy Policy:

To ensure that you are always fully informed and up to date about our collection, use, and disclosure of your Personal Information, all changes to our Privacy Policy will be posted to this page on our website(s).
